Administrative Assistant

Service Criteria

All individuals holding positions with Franklin Savings Bank are responsible for conducting themselves in a manner consistent with FSB’s Pledge of Excellence. Purpose:

Under the general guidance of the Executive Assistant and in accordance with established policies and procedures, the incumbent is responsible for performing a variety of clerical, administrative and organizational duties, many of which may be complex and confidential in nature. Primary responsibility for all job functions is to the Executive Assistant. However, additional support is offered to other Executive Officers, as needed.

Other essential responsibilities include intermittent responsibility for Human Resource clerical duties. In the performance of these duties, the incumbent reports to the VP – Human Resources Officer.

Duties and Responsibilities

I. Administrative:

Ø All aspects of the position require that work is done with a consistently high degree of accuracy.

Ø Efficiently and effectively provides high-level administrative and organizational support to the Executive Assistant and Executive Team.

Ø Handle highly confidential and sensitive information with tact, discretion, and judgment.

Ø Ensure communications are well-coordinated, timely, and effective.

Ø Works independently, and within a team, on special, nonrecurring, and ongoing projects.

Ø Serve as official recording secretary for FSB Committee Meeting Minutes such as Audit Committee and MHC Subcommittee.

Ø Serve as recording secretary for internal committees such as IT Planning, Compliance and ERM.

II. Timeliness:

Ø Ability to prioritize and manage multiple deadline-oriented tasks/projects so as to always be addressing the most critical work projects/tasks.

Ø Perform within schedules for daily, weekly, monthly, quarterly, and annual duties and responsibilities.

III. Customer Relations and External Contacts:

Ø Responds to internal and external contacts in a courteous and professional manner, to effectively address inquiries or achieve resolutions.

Ø Comfortably and effectively communicates with internal customers as well as external client and senior management with a high level of diplomacy and business etiquette.

IV. Confidentiality:

Ø Maintains consistent confidentiality with respect to corporate and personnel information, activities, and communications.

SKILLS/EXPERIENCE/TRAINING REQUIRED:

A minimum of three years previous work experience in an office environment.

Must be able to define problems using structured problem solving to collect data, establish facts, and draw conclusions.

Strong customer relations, business writing, and organizational skills required.

Strong working knowledge of personal computers, word processing and spreadsheet software is required. Knowledge of Adobe Pro (or similar software) helpful.

Must be capable and competent in technology and applications needed in the performance of their duties, as these change over time.

WORKING CONDITIONS:

Travel is necessary throughout the Bank’s service area thus a valid driver’s license is required.

Physical effort is involved with respect to dexterity and visual attention as needed for the frequent operation of office equipment.

Physical effort is required with the handling of light materials and supplies.

Position is normally seated with the freedom of movement on a regular basis.
