Summary:
The Grant Coordinator collaborates with Human Options leadership team and staff to explore funding needs, develop solicitation strategies, prospect research, structure and write proposals, develop collateral materials, complete reporting, complete necessary follow-up, and provide post-award support to staff overseeing grant-funded projects. Key duties involve writing comprehensive and compelling proposals, submitting timely reports, keeping accurate records, and mobilizing the team to contribute. The ideal candidate for this position is self-motivated, able to work independently while communicating frequently with team members and is comfortable managing multiple competing deadlines.
Essential Duties and Responsibilities: Include the following. Other duties may be assigned:
Writing and Coordination
- Prepare and write grant proposals, applications, and reports for government agencies, private, and corporate foundations to secure funding for general operating and program-specific support.
- Collaborate with program and finance staff to obtain relevant content required to write narratives for proposals and reports, including the preparation of grant forms and the assembly of budgets and supporting materials.
- Ensure grant measurements and outcomes are monitored and goals are met for each grant.
- Lead the content development of case statements, annual reports, and stewardship reports.
- Researches all governmental agencies and private foundations that offer grants, through compiling publications and verbal information from these sources.
- Work in conjunction with officers of the agency in planning and forecasting income and budgets.
- Discuss available sources of funding with administrative managers.
- Compile necessary information for the application process through collaboration with other employees, database research, and other factfinding actions and meetings.
- Organize and write grant proposals justifying the agency’s need for the grant; forward to the appropriate officers and executives for approval.
- Follow the format specified by the funding agency to create and submit the grant proposal.
- Collaborate with the leadership team and staff to determine and understand the needs of clients and the organization. Assess feasibility of obtaining external grant fundings for project and program proposals.
- Draft and complete grant applications according to application requirements.
- Ensure grant is submitted on time and within application parameters.
- Coordinate final submission of grant proposals by gathering and organizing materials required, including financial statements, organizational budgets, program budgets, board rosters, etc.
- Complete all documents, forms, and/or reports required by the grants.
- Coordinate the monitoring and evaluation of programs and projects that are funded by grants.
- Develop and maintain master files on grants and paperwork connected to programs funded by grants.
- Actively seek, identify, and recognize external opportunities that present viable funding and match Sage priorities.
- Create and maintain systems (e.g. SmartSheet) for coordinating funding opportunities, application processes, reporting, and other grants-related information.
- Compile financial reports, data, news articles, stories, photographs, and other material required for grant reports and contracts.
- Maintain a process to monitor grant compliance and implementation in collaboration with leadership team and staff.
- Advise and support the leadership team and staff concerning grant startup and grant management issues and provide ongoing knowledge translation related to the grant and reporting compliance.
Outreach to new and existing funders
- Research various types of grants available and identify the criteria to qualify for each.
- Research and identify new opportunities to grow private funding.
- Deepen existing relationships with key individuals at private and corporate foundations and government agencies through site visits, personal notes, and in person meetings.
- Serves as the liaison between staff and funders.
- Collaborate with the Development and Program teams to develop relevant communication materials in support of grant writing, reporting, funder relations, evaluation, and knowledge mobilization.
Grant administration
- Ensure data is captured in the database to maintain the timely submission of letters of inquiry, proposals, applications, and reports.
- Prepare monthly grant tracking reports for Executive Leadership and Board of Directors.
- Act as a community ambassador for Human Options and domestic violence awareness.
- Take care of any necessary follow-up, including meeting with the funding agencies.
- Upon receipt of a grant, the Grant Coordinator sees that the requirements of the funding agencies are met.
- Keep organized and detailed files of funding agencies, grants applied for, grant proposals, and other important data.
Required Knowledge, Skills, and Abilities:
- Strong writing and editing skills with the ability to analyze and synthesize written material.
- Balance and prioritize completing deadlines.
- Proven ability to work independently and within a diverse team, across numerous departments.
- Working knowledge of grant database software programs, such as Raiser’s Edge.
- Strong critical thinking and problem-solving skills.
- Thorough understanding of local, state, and federal funding sources and the ability to locate potential sources for funding.
- Thorough understanding of grant funding policies and procedures applicable to local, state, and federal regulations.
- Excellent verbal and written communication skills, as well as strong listening and research skills.
- Thorough understanding of effective grant writing techniques.
- Extremely organized and meticulous with details.
- Excellent project management skills and ability to prioritize a variety of work and resources.
- Ability to interpret financial data and prepare budgets and financial grant reports.
- Ability to be discreet with personal information that may be needed for some grants such as employee salaries or upcoming projects.
- Participate in typical organizational activities, such as staff meetings and committees, when applicable.
- Other duties as required.
Qualifications:
- Bachelor’s Degree in social work, communications, a related field, or commensurate work experience required.
- 3-5 years of relevant experience in writing government, private and corporate grant proposals.
- At least three years of experience in grant writing experience highly preferred.
- Familiarity with domestic violence programs is a plus.
- Strong interpersonal skills to manage collaboration with multiple staff members, synthesize information, and infuse gathered knowledge throughout organization.
- Excellent computer skills including intermediate to advanced knowledge of Microsoft Office Suite – Word, Excel, PowerPoint and Outlook.
